Why your support bot keeps sending customers in circles

By RUBIKSCORP · Updated · 2 min read

Loops happen when a bot cannot handle a request, cannot admit it, and has no clean path to a human. Customers repeat themselves, get frustrated and leave with a worse view of your brand.

Make escalation a real part of the journey

A support bot can recognize the general topic and still fail to resolve the request. Inspect conversations where customers repeat themselves, rephrase the same question or ask for a person. A handoff that sends the customer back to the opening menu is another loop. Map what happens after escalation, including which details reach the support team and what the customer is told about availability.

What to check

  • Test unresolved questions, requests outside policy and direct requests for human help.
  • Check whether the bot remembers information already supplied without retaining unnecessary personal data.
  • Follow the handoff through to the support queue and verify that the customer receives an accurate next step.

What to change

Limit repeated clarification attempts. Offer an obvious route to a person or a structured follow-up when the bot cannot help. Pass a concise summary and relevant facts to the receiving team with appropriate access controls. Explain actual service hours and response expectations without suggesting that a person is available when nobody is monitoring the queue.

How to evaluate the result

Track resolved requests, repeat contacts, abandoned journeys and successful handoffs. Review samples manually because a conversation ending is not proof that the issue was solved.

What the result does not establish

A bot cannot fix a support process that has no owner for escalated work. Agree responsibility and capacity for the human queue before increasing automation.
